Childcare Services

In an effort to increase the accessibility of the annual conference for caregivers, the 2024 Conference Committee is pleased to offer a pilot on-site childcare service.

Please note: this is a pilot offering for ASHE 2024. If there is sufficient use for this service, there are plans to expand the offering in future years. For this initial year, ASHE is only able to offer 24 hours total of childcare and have prioritized coverage of session blocks during the general conference.

If you need childcare outside of the hours offered, including on Wednesday, November 20, please indicate your interest on your registration form so we can put you into contact with potential service providers and/or resources.

Service Details

ASHE is partnering with Elegant Event Sitters, a company that provides First Aid/CPR certified, background checked caregivers. Care will be provided in the ASHE 2024 Conference Hotel, Hilton Minneapolis.

Ratios for caregivers to children will be adjusted based on the age and needs of the children. Care is available for infants to 12 years of age. Meals will not be provided, but caregivers can send pre-approved snacks in.

Service will be provided hourly on the following days:

  • Thursday, November 21 - 9:30 am - 5:30 pm
  • Friday, November 22 - 8:30 am - 5:15 pm
  • Saturday, November 23 - 8:45 am - 5:15 pm

Provider Information

Elegant Event Sitters carries a business license only to provide on-site supervision for the children in their care during the duration of the Client's event. The Company is not a licensed daycare provider and is not subject to the rules and regulations of childcare licensing. All work shall be completed in a professional manner arising to industry standards, and if applicable, in compliance with all codes and other applicable laws. To the extent required by law, all work shall be performed by individuals duly trained to industry standards, licensed (if applicable), and authorized. Elegant Event Sitters will comply with all applicable state and federal laws, regulations and other standards and requirements in providing services under this agreement.

Elegant Event Sitters are not able to provide children meals. Approved snacks may be sent in by caregivers. 

Elegant Event Sitters will provide:

  • Identifiers for each child (wrist bands and name tags)
  • Pick Up Cards given to each parent to present when retrieving their children
  • Bathroom Log maintained for all trips to the bathroom (time in/out, the name of the sitter and the child)
  • Outlet covers
  • Disinfection of toys before, during and after the event
  • Alcohol based hand sanitizer for caregivers and parents. Alcohol Free hand sanitizer for children 
  • Activities including arts and crafts, fun games and activities, infant/toddler equipment if needed, assorted toys, and a professional entertainer

Elegant Event Sitters carries and maintains comprehensive general liability insurance, including contractual liability and liability for personal injury, bodily injury, property damage, and completed operations liability with a combined single limit of not less than $1,000,000 each occurrence.

Elegant Event Sitters is as an independent contractor and is not an employee of the ASHE, or the venue that the event is being held in.

In the event of children that are disruptive, unruly, disrespectful and a threat to any other children while under the supervision of Elegant Event Sitters, Inc., the Company has the right to request said child be removed from the presence of the other children. The Company reserves the right to refuse service to any parent or child who poses a threat to their safety and the safety of others. Client shall be responsible for payment in full regardless of the situation being resolved.

Cost

ASHE will subsidize the cost for members. Registration forms are due by November 1, Noon Central/Minneapolis time to ensure there is adequate coverage for the conference.

Fees for the service:

  • Non-Member: $30/hour (unsubsidized by ASHE)
  • Member: $20/hour
  • Graduate Student Member: $12/hour

Registration

  • Conference attendees will must complete this initial registration form no later than Friday, November 1, 2024 at Noon Central/Minneapolis time to be considered for services.
  • Attendees will receive a confirmation email and invoice from ASHE no later than Monday, November 4 confirming their reservation for Childcare. 
  • Payment is due to ASHE for services upon confirmation.
  • ASHE may not be able to accommodate all requests due to space and sitter limitations. Early registration is recommended.
  • Elegant Event Sitters may have additional forms to be filled out by the parents/caregiver once registration is confirmed.
